Hi
We recently upgraded our web site (www.detoxyourworld.com) to have an integrated online shop. The shop was done in Actinic (connected to Netbanx), and is working well.
However, we were supposed to be able to connect Actinic to Quickbooks so I don't have to enter all the orders manually. This was to be done via Actinic Link. When we tried it (with the help from our techie who created the new site) we found out that Quickbooks is severely limited. It can't create a new customer, so all new purchases end up as one customer called "internet shopper", which is useless for us as we can't then search for what each customer has bought or do selected (e)mailshots. We're disappointed to say the least.
We think we have 2 options:
1) Find someone who can create .csv files from Actinic that are importable to Quickbooks -- but we don't know who to look for!!
2) Dump QB and start using Sage, as Sage really can create new customers from Actinic.
If we go for option 2 -- does anyone know if we can import all our customer and supplier and product information into Sage from QB? If so, how much of a task is this and could we get someone to do it for us?
If anyone has any suggestions at all, I'd be pleased to hear them, we're so frustrated that 3 months of work can't be completed because QB UK has this extremely frustrating limitation. BTW, QB US does it :-(
Love and thanks
Denise

Denise,
I don’t know what version of QB you are using - this could be the issue if you are missing functionality (there are 4 main levels with a new edition each year). If it is recently purchased you should have access to the "exceed" support line who will be able to give more definitive advice. The US and UK versions are generally quite close, and you may find if you are using an older version the functionality is available by buying the newest version - its really a talk to QB support thing to ensure you really cant do what you would like it to.
A conversion from Sage to QB is not too traumatic -you can dump data from QB into excel, and import data into Sage from a structured external format. It is a bit fiddly but can be done, you have to take care over the setups as they do differ between the packages, ie you need to plan the new SAGE set up and not just mirror what you have in QB as the functionality does differ.
I hope that helps. Probably the best people to ask for help is your current accountant. I do quite a lot of accounting software set up for clients so and I am sure they will as well.

Thanks James
I'm running QB 2003, so could upgrade, but am frustrated as I can't ask QB if the new version has this feature as I have to pay for support to ask that question (I tried ringing, no luck!!). We've been told by Actinic (who'd like this feature to work for the sake of their clients) that it's not poss in any UK version.
I'll ask our accountant if he knows how to do what you suggested, too... er, my feeling is he won't, from the conversations I've had with him before. I wonder if a techie of sorts would be a better option?
Thanks again
Love
Denise

Sounds like you are out of luck then. In terms of the conversion, really anyone with experience of setting up the package should be able to help, its not all that hard if you know what you are doing. I am rather surprised you think your accountant can’t help, although I guess it depends what skills they have.

There is a good way of importing spreadsheets into Line 50 and this is Importer V3 for Sage Line 50. Details are at www.import2sage.com have a look at this site and down load the demo.

You can transfer the data from quickbooks to an excel spreadsheet, save this as a .csv and then import the information to sage. This is the simple way to transfer qb to sage. actinic should link to sage easily as it runs on the same back end as ACT. To export data from actinic you should be able to click on the days input data, and export yet again to excel.csv, and import into qb's. If you would like give me a call on 01656 872333 to discuss the usability issues you have raised.

When transferring from QB to Sage line 50. Is it possible to transfer the transaction history so that none of this is lost?
The systems are set up differently and I am struggling to get a nominal code from Quickbooks in the transaction history report

To do this you would need to replicate every transaction, which I think would be tough as they work in different ways. So yes you probably could, but I don’t know quite why you would do so. Generally you run the legacy system to something like the year end and then cut over, referring back to the original system when you have to.
I personally would keep it simple and take current balances and data only.
