Hi Gemini,
We have quite alot of experience with CRM systems. There are hundreds of differant systems to choose from. What mail software do you use (Microsoft Outlook, Lotus Notes etc)?
If I was you I would pop along to the CRM Event at Olympia in London on 6th & 7th October and take a look at whats on offer. You should find a system that meets you requirements.
We use Vikara which may be too advanced for what your looking for.

Did you make a decision? If you haven't bear in mind that some CRM systems still use propriety databases (rather than more mainstream SQL server or Oracle). Although these versions are normally more expensive, it makes the task of integrating other applications with them much easier at a later date.
Take an example of getting your prospect data from your website straight into something like Goldmine. The SQL server version has database components to do this quickly and securely while making sure that the database maintains its integrity.
Compare this to having to 'import' a text file of comma separated customer names and addresses. Much more manual intervention required.
You situation may be quite different, if you can't foresee any integrtion needs in the future, go for the cheaper propriety database version.

Ok... first things first.... CRM IS NOT ABOUT THE TECHNOLOGY OR SOFTWARE!
Time after time we come across disgruntled companies promised that by implementing CRM software will deliver beyond their wildest dreams.....!!! Vendor hype is killing CRM and what can, and should be the most important aspect of a company.
CRM is about moving from being product-centric to being customer-driven. Nuturing relationships starts way beyond you start playing with any software!

Any good CRM software especially open source out there is better than custom or proprietary solutions regardless of what the solution providers say.
It's called sales pitch, always full of hype and half truths.
After I installed and configured a free open source CMS I realized that one really needs to think outside the what solution providers want us to believe.
Same arguement Microsoft is using to rubbish open source.
It is still about the technology and the software though not all about it.
Search for a good solution and save money.
